# Manage organization settings

> Understand Admin and Member access, invite colleagues, and manage shared credits, monthly limits, and team API keys.

Your organization brings your team together around a shared RevenueBase credit balance. Open your **organization name** at the bottom of the [portal](https://app.revenuebase.ai) sidebar and choose **Organization Settings**.

Use **Members** for the directory and invitations, **Usage & limits** for credits, and **Team API keys** for admin key oversight.

## Compare Admin and Member access

| Action | Member | Admin |
| - | - | - |
| Use Audience Builder and Email Verifier | **Yes**, subject to plan and available credits | **Yes**, subject to plan and available credits |
| View the member directory | **Yes** | **Yes** |
| Invite people, manage invitations, change roles, or remove members | No | **Yes** |
| View personal available credits and monthly usage | **Yes** | **Yes** |
| View organization balances and manage monthly member limits | No | **Yes** |
| Create, rotate, or revoke personal API keys | **Yes**, own keys | **Yes**, own keys |
| View team key metadata and revoke team keys | No | **Yes** |
| Buy credits and manage billing or connection configuration | No | **Yes** |
| Use an already-configured integration | Where available under the account's access and plan | Where available under the account's access and plan |

Private jobs, results, exports, and audiences are not automatically visible to the whole organization. Being an Admin does not grant access to a colleague's private work. Explicitly shared resources follow their sharing permissions.

## Invite colleagues

**Admins only.**

1. Open **Organization Settings → Members**.
2. Choose **Invite members**.
3. Enter one or more email addresses, separated by commas, spaces, or new lines. Duplicate addresses are ignored.
4. Choose **Member** or **Admin**. That role applies to everyone in this invitation.
5. Send the invitations. Each person receives an email link to join your organization.

Choose Member for someone who needs to search, export, or verify emails. Choose Admin when they also need to manage team access, spending limits, or billing.

If some invitations fail, the dialog identifies those addresses. **Retry failed invitations** retries those recipients without resending the successful invitations.

### Manage pending invitations

Find pending invitations on the **Members** page. Resend an invitation if the recipient needs another email, or revoke it if they should no longer join. Revoking a pending invitation is different from removing someone who has already joined.

### Join an organization

Open the invitation email and follow its link. Sign in or create an account using the invited email address. If you cannot find the invitation, check spam and ask an admin to confirm the address and resend it.

## Change roles or remove members

**Admins only.**

Find the person on **Members**, choose the role change or removal action, and read the confirmation before applying it.

* Changing a role changes what the person can manage. Promote someone to Admin only when they need those controls.
* Removing a member removes their organization access and revokes their keys. It does not make their private work team-visible.
* The portal protects the last Admin from removal or demotion. Keep another Admin in place before changing the last Admin's access.

If a newly changed role is not reflected immediately, refresh the portal or sign in again. Contact [support@revenuebase.ai](mailto:support@revenuebase.ai) if access still looks wrong.

## Understand shared credits and monthly limits

Everyone spends from **one organization credit balance**. Admins can add an optional monthly spending limit for each person.

| Setting or condition | Effect |
| - | - |
| **No personal limit** | No individual monthly cap. Spending still depends on available organization credits. |
| A positive monthly limit | This month's usage and credits reserved for the person's running jobs count toward that limit. |
| A limit of **0** | Blocks new spending. |
| Monthly reset | Usage resets on the **first day of each month at 00:00 UTC**. Unused limits do not roll over. |
| Organization credits run out | New paid work cannot start, even if the person has room under their limit. |
| A limit exceeds the organization balance | The limit is allowed, but it does not guarantee those credits will be available. |

> [!NOTE]
>
> A monthly limit is a spending cap, not an allocation. Setting a 5,000-credit limit does not reserve 5,000 credits for that person. Other members draw from the same pool.

For example, if the organization has 8,000 available credits and two members each have a 5,000-credit limit, they share those 8,000 credits. They do not each have a separate 5,000-credit balance.

The plan determines which actions use credits. **Unlimited contact and company retrieval remains included**; email verification still uses credits for Valid and Invalid results. See [Credits & Plans](https://docs.revenuebase.ai/api-reference/v2/credits.md).

### Set a monthly limit

**Admins only.**

1. Open **Usage & limits**.
2. Find the member under **Member usage & monthly limits** and choose **Edit limit**.
3. Choose **No personal limit** or **Set monthly limit**.
4. If setting a limit, enter the monthly credit amount. Review this month's usage, running-job reservations, and the credits that would remain.
5. Choose **Save limit**.

Usage already incurred this month counts toward a newly saved limit. Lowering the limit can leave no credits available for new work; it does not erase prior usage.

Some existing accounts show **Existing lifetime limit**. That restriction remains until an admin explicitly saves a monthly setting. Saving replaces it with the new monthly limit policy.

### Read usage and reservations

Members see **Your available credits** and their own monthly usage. Admins also see **Team credits available**, **Reserved for running jobs**, **Team credit balance**, and member usage controls.

**Reserved for running jobs** means credits are held while work runs. When a job finishes, its actual cost is charged and unused reserved credits are released. These job reservations are separate from monthly spending limits.

If you have reached your monthly limit, wait for the reset or ask an admin to increase it. If the organization has run out of credits, an admin needs to add funds. Increasing your personal limit alone does not replenish the organization balance.

## Manage team API keys

**Admins only.** Open **Team API keys** to inspect key owners, masked key details, permissions, and creation information. Choose **Revoke** and confirm when a key should no longer work.

Team oversight does not reveal another person's full key or let an admin create or rotate a key for them. Each person uses **My API keys** to create and manage their own keys. See [API key instructions](https://docs.revenuebase.ai/docs/portal/settings-and-billing.md#manage-your-api-keys).

## Manage billing and personal settings

* **Plan & Billing**, in the organization menu, lets admins review plans, buy organization credits, and manage invoices and billing details.
* **Profile settings**, in the same menu, is for each person's own profile, sign-in security, and account deletion.
* **My API keys** remains a separate sidebar item for everyone.

See [Settings and billing](https://docs.revenuebase.ai/docs/portal/settings-and-billing.md) for the walkthroughs.

## Resolve access problems

| What you see | What to check |
| - | - |
| Missing billing, invitation, limit, or team-key controls | These actions require Admin access. Ask an Admin in your organization. |
| No credits available | Check whether you reached a personal limit, credits are reserved for running jobs, or organization funds have run out. |
| An invitation does not work | Confirm the invited email address and ask an Admin to check or resend the pending invitation. |
| A colleague's audience or export is missing | Private work is not automatically shared. Ask the owner whether it was explicitly shared with you. |
| Account deletion is blocked for the last Admin | Arrange another Admin first, or contact support if you need to close the organization. |

For unresolved account issues or organization deletion, contact [support@revenuebase.ai](mailto:support@revenuebase.ai).
